The Print That Came Back Wrong

A few years into my commercial work, I delivered a product shoot to a client who called me two days later. Her printer had run the job, and the product’s brand color, a specific warm terracotta red, had come out looking like a muddy orange. The files looked perfect on my screen. That was the problem.

I had been editing on a Dell monitor I’d bought without ever calibrating it. It was running too warm and slightly oversaturated out of the box, which meant I was unconsciously compensating the wrong direction every time I edited. My “correct” file was broken before it ever left my hard drive. I reprinted at my cost, lost three days, and bought an X-Rite ColorChecker Passport and a Datacolor Spyder that same week.

That was the last time I paid for someone else’s calibration ignorance.

What’s Actually Happening Inside Your Monitor

Every monitor, regardless of brand or price, drifts from its factory settings over time. Backlights age, panel response changes, and color temperature shifts. Most monitors drift noticeably within 4 to 6 weeks of use. Cheaper panels can drift within days. Without calibration, you have no reliable way of knowing whether what you’re seeing is what’s actually in the file.

The technical issue is this: your monitor has its own color interpretation, and your operating system, editing software, and output device (printer, lab, web browser) each have theirs. Color management is the system that translates between all of them using ICC profiles, which are small files that describe how a specific device renders color at a specific point in time. When you calibrate, you’re creating an accurate ICC profile for your monitor as it exists today, not as it existed when it shipped from the factory six months ago.

Skipping calibration doesn’t mean you’re working without color management. It means you’re working with bad color management and not knowing it.

The Calibration Workflow I Actually Use

I calibrate every 30 days. It takes about 12 minutes and I do it at the start of the first Monday of each month, before any editing work. Here’s the exact setup.

Hardware: Datacolor SpyderX Pro, currently around $170 new. It’s not the cheapest option, but it’s consistent and the software is straightforward. I’ve used X-Rite’s i1Display Pro as well (roughly $230) and the results are comparable. Either will serve you well.

Target settings for calibration: white point at D65 (6500K), gamma at 2.2, and luminance between 80 and 100 cd/m2. That last number matters more than most photographers realize. If your monitor is running at 200 cd/m2 and you’re editing to that brightness, your prints will look dark. Labs and print houses typically work at 80 to 100. Match them.

After calibration, the software generates and installs an ICC profile automatically. In Lightroom Classic, go to Edit, then Preferences, then External Editing, and confirm your color space is set to ProPhoto RGB with a 16-bit depth if you’re working in Lightroom and sending files to Photoshop. For export to labs, I use sRGB at 8-bit unless the lab specifies otherwise. Most do.

One step photographers skip: soft proofing. In Lightroom, hit the S key in the Develop module to enable soft proof, then load your lab’s ICC profile (your lab should provide this as a free download). This simulates how your file will actually look when printed on their paper with their inks. It won’t match perfectly, but it closes the gap significantly.

The Real Cost of Not Calibrating

I worked at a newspaper early in my career where the rule was simple: your work was accurate, or someone else did your job tomorrow. That pressure built habits that stayed with me. Calibration is one of them. It’s not perfectionism. It’s professionalism.

Here’s a number that might help make the case if you’re still on the fence. A single reprint on a large-format fine art piece can run $80 to $200 depending on the lab and paper. A product reshoot for a commercial client, because the colors in the final output don’t match the brand standards, can cost you the client entirely. The SpyderX Pro at $170 pays for itself the first time it prevents a reprint. I’ve had the same unit for four years.

The photographers I see struggling most with client complaints about color are almost always editing on uncalibrated consumer monitors in rooms with inconsistent lighting. Both matter. Calibrate in the lighting conditions you actually edit in, and if your room gets a lot of shifting natural light, calibrate with your overhead lights on. Ambient light affects how your eyes perceive the screen, and consistency is the whole point.

Setting Up a Repeatable System So You Actually Do It

Calibration that happens once and gets forgotten is nearly useless. The drift is constant. Build it into your calendar the same way you’d schedule a client call or a gear maintenance check.

I keep a small laminated card taped to the side of my monitor stand with my calibration date, target settings, and lab ICC profile locations. It takes thirty seconds to glance at before a major edit session. The SpyderX software also lets you set reminders, and I use that as a backup prompt. Two reminders are better than relying on memory after a long shoot week.

If you’re running multiple monitors, calibrate all of them separately. A calibrated primary and an uncalibrated secondary is still a liability, because you’ll inevitably glance at the secondary and make a judgment call based on what you see there.

Calibration isn’t the most exciting part of running a photography business. But accurate color delivered consistently is one of the fastest ways to build a reputation with labs, clients, and art directors who notice when things are right. The monitor is the first tool in your output chain. Get it right before you touch anything else.
