The Print That Killed a Client Relationship

A few years into my commercial work, I delivered a product shoot to a packaging client. The images looked immaculate on my screen. Warm whites, saturated reds, clean neutrals. The client called me the day after the files went to press. The reds were orange. The whites had a green cast. The product looked nothing like it did on the shelf.

I hadn’t calibrated my monitor in eight months. The display had drifted, slowly and invisibly, and I had been editing blind the entire time. I ate the cost of a reprint. More importantly, I lost that client. That was the last time I let calibration slide.

If you’re editing on an uncalibrated display, you are not making creative decisions. You are guessing, and eventually, your guesses will catch up with you.

What Calibration Actually Does to Your Display

Your monitor is not a fixed, neutral window into your images. It’s a piece of hardware with a backlight, phosphors or LEDs, and firmware that drifts over time. Heat cycles, age, and even the angle of ambient light in your room all shift how colors and luminance are rendered. Left alone, a monitor that showed accurate color on day one will be pulling in a noticeably different direction by month three.

Calibration creates a hardware and software profile, an ICC profile, that tells your operating system and color-managed applications like Lightroom or Photoshop how to compensate for your display’s current state. It maps what your monitor is actually doing to what it should be doing, and it applies a correction curve at the system level. Without it, every application on your machine is rendering color into a distorted space, and you have no reliable reference point.

The target for most commercial and print work is D65 (6500K color temperature) with a gamma of 2.2 and a luminance of 120 cd/m2. If you’re doing work destined for web only, you can push luminance closer to 140-160 cd/m2. These are not arbitrary numbers. D65 matches the standard viewing conditions assumed by most color workflows and print labs.

The Gear, the Settings, and the Schedule

You cannot calibrate your monitor with your eyes. You need a hardware colorimeter. I use the X-Rite i1Display Pro Plus, which runs around $270. The Calibrite ColorChecker Display Pro is the same device rebranded after X-Rite’s consumer line changed hands, and it runs about the same price. Either one is fine. The Datacolor Spyder X Pro at around $170 is a workable entry point if the budget is tight, though its accuracy lags slightly in shadow tones.

The software that ships with those devices walks you through the process. Here’s what I set:

  • White point: D65 (6500K)
  • Gamma: 2.2
  • Luminance: 120 cd/m2 for print work, 140 for web-heavy workflows
  • Calibration interval: every 4 weeks

That last point matters. Set a recurring calendar reminder. I run mine on the first Monday of every month. It takes 8-12 minutes depending on the device. The software generates a new ICC profile and sets it as the active display profile automatically.

Before you run the calibration, let your monitor warm up for at least 30 minutes. A cold display reads differently than a display that’s been running for half an hour. Also, dim or block direct light on your monitor during the calibration process. Ambient light hitting the sensor throws off your readings.

After calibration, verify the result by pulling up a known reference. I keep a folder of images I’ve had printed by a trusted lab, with the prints physically on my desk. If the screen matches the print within a reasonable margin, the calibration is solid.

Why I Also Calibrate My Laptop Before Any Client Delivery

I edit on a calibrated 27-inch BenQ SW270C, but I take a 14-inch MacBook Pro on location and use it for tethering and quick selects. For years I treated the laptop as a rough review tool and didn’t bother calibrating it. Then I started delivering selects to clients directly from the field after event coverage, and I had a job where I culled and color-corrected 200 frames on the laptop and delivered them same-day.

The client flagged five images as having a visible color shift compared to the rest of the batch. They were right. The laptop display, left uncalibrated, had pulled those images warm in a way I never caught. I was working fast, under deadline pressure, in a room with mixed lighting - exactly the conditions where you can’t rely on your eyes.

I now calibrate the laptop on the same monthly cycle as my main display. Two colorimeter runs per month is 20 minutes of overhead. The alternative is a client call I do not want to have.

What Your Lab and Your Client Are Actually Seeing

Here’s the part most photographers miss. Calibration doesn’t just affect what you see. It affects what you hand off.

When you edit in a calibrated, color-managed environment using a consistent color space, typically sRGB for web delivery or Adobe RGB for print, your files carry accurate color information that a downstream recipient can interpret correctly. A lab running a calibrated press with a proper RIP workflow will reproduce what you intended. A client viewing your proofs on an uncalibrated consumer display will still see something shifted, but that’s their hardware problem, not a flaw in your file.

Deliver an uncalibrated file and the chain breaks before it even reaches the lab. You’ve baked in a mistake that no downstream correction will fully fix.

Calibrate your display, stick to a monthly schedule, and verify against a physical print reference. That single habit separates photographers who deliver consistent, professional results from photographers who are always chasing a problem they can’t quite name.
