I sent a 24x36 canvas to a lab once and got back something that looked like it had been photographed through a dirty windshield. The blues had gone muddy, the skin tones were orange, and the shadow detail I’d spent twenty minutes recovering in Lightroom had completely disappeared. The client was a corporate headshot account. They wanted fifty prints. I ate the cost of the first run and rebuilt my entire print prep process that week.

That was a $340 lesson. This article is cheaper.

What Your Monitor Is Lying to You About

Most photographers calibrate their shooting. Almost none calibrate their monitors. Your screen is an RGB light-emitting device. A print is a CMYK light-reflecting surface. These are fundamentally different ways of rendering color, and the gap between them is where money goes to die.

If you’re editing on an uncalibrated display, you are guessing. Even an expensive monitor ships from the factory with a generic color profile that drifts over time. Warm ambient lighting in your office pushes your visual perception toward cool corrections in your edits. You compensate for problems that aren’t there, and miss ones that are.

Calibration closes that gap. A hardware calibrator like the Datacolor Spyder X Pro (around $170 street price) or the X-Rite i1Display Pro (around $250) takes the guesswork out entirely. Run calibration once a month. Takes twelve minutes. Set your target white point to D65 (6500K), luminance to 120 cd/m2 for a room with moderate ambient light, and gamma to 2.2. Write those numbers on a sticky note and leave it on the monitor. You want consistency, not perfection chasing.

Color Profiles Are Not Optional

Every print lab uses a specific ICC profile that describes how their printers and paper combinations render color. If you’re not downloading and using that profile, you’re printing blind.

WHCC, Bay Photo, Mpix, and most professional labs publish their ICC profiles on their websites. Download them, drop them into your system’s color profiles folder (on Mac that’s /Library/ColorSync/Profiles), and they’ll show up inside Lightroom and Photoshop.

In Lightroom Classic, go to File, then Export. Under File Settings, set the color space to “Other” and choose the lab’s profile from the list. For most professional inkjet labs on lustre or metallic paper, you’ll also want to set the bit depth to 16-bit if the lab accepts it. That extra bit depth preserves subtle tonal gradations, especially in skies and skin.

For Photoshop, use Convert to Profile (Edit menu) before flattening and exporting. Do not use Assign Profile. Convert is a destructive operation that actually remaps the pixel values. Assign just slaps a label on the file without touching the data. Know the difference or your blues will keep shifting on you.

Soft Proofing in Lightroom Is Worth Slowing Down For

Soft proofing is Lightroom’s simulation of how your file will look when rendered through a specific ICC profile. It is not perfect, but it is dramatically better than sending a file cold.

Hit the S key in the Develop module to enter Soft Proof mode. Select your lab’s profile from the dropdown, and check “Simulate Paper & Ink.” Your image will often go flatter and slightly cooler. That’s not a bug. That’s the paper. Now make adjustments specifically for this output, using the “Create Proof Copy” button so you don’t destroy your master edit. Typical corrections: lift blacks slightly (paper can’t go as dark as a backlit screen), boost clarity by 5-10 to recover microcontrast, and pull highlights back a touch if they’re clipping in the proof view.

Save your proof copy as a Lightroom virtual copy. Export from there. This takes an extra seven minutes per print job and has saved me client relationships I can’t put a dollar value on.

The File Size and Resolution Conversation Nobody Wants to Have

I see photographers submit 72 PPI files to print labs because “that’s what I exported for the web.” Do not do this.

Labs need a minimum of 300 PPI at the final print dimensions. A 24x36 inch print at 300 PPI requires a file that is 7200 x 10800 pixels. If your camera produced a 24 megapixel file, you are right at the edge. If you’re cropping significantly or shooting at a lower resolution, you need to upscale before export.

Photoshop’s Preserve Details 2.0 upscaling (Image, Image Size, Resample, Preserve Details 2.0) handles this well up to about 200 percent enlargement. Topaz Gigapixel AI does better above that threshold and runs around $99 as a standalone license. I use it for anything going over 30 inches wide. The quality difference at final output is real and clients notice.

One more thing: always embed your color profile in the exported file. That checkbox is in Lightroom’s export dialog. Leave it unchecked and some labs will interpret your file using sRGB regardless of what you shot in. That is not a conversation you want to have with a client who’s ordered wall art for their lobby.

When My Kids Taught Me What a Real Backup Looks Like

My twins were about eight when they got curious about my editing computer. They deleted a folder of client proof JPEGs they thought were duplicates. Forty-seven files, gone. I had them restored from my local backup drive in ninety seconds, using a versioned backup I run through Carbon Copy Cloner every night at 2 a.m.

I tell that story not to brag about my paranoia, but because the same principle applies to print-ready files. Your proof copy, your lab-profile export, your final flattened TIFF, all of those are distinct files worth preserving. I keep a “Print Exports” folder per client inside my job folder, backed up to two local drives and one offsite. If the lab loses your file or the order gets corrupted in transit, you can resubmit in minutes, not hours.

The single most important shift you can make is treating print prep as its own stage of the workflow, not an afterthought you do five minutes before you upload. Calibrate your monitor, download the ICC profile, soft proof, export at the correct resolution, and back up the final file. Every step is fifteen minutes of work that stands between you and an expensive reprint you’re eating alone.
