My twins were seven years old when they decided to help me “clean up” my desktop. In about four minutes, they deleted an entire folder of client proofs, roughly 340 processed JPEGs from a corporate headshot session I’d delivered the day before. I had them restored from my local backup in 90 seconds. The clients never knew. My kids were grounded for a weekend, but the business survived without a scratch.

That story isn’t about kids being kids. It’s about the fact that data loss doesn’t announce itself. It doesn’t wait for a slow week or a forgiving client. It shows up on a Tuesday afternoon when you’re about to invoice someone, and what separates a recoverable inconvenience from a career-ending catastrophe is the system you built before anything went wrong.

Why Hard Drives Fail Faster Than You Think

Most photographers treat hard drives like furniture. You buy them, you plug them in, you assume they’ll be there tomorrow. The mechanical reality is different. A standard 3.5-inch desktop hard drive has an average lifespan of three to five years under normal use. SSDs last longer, but they’re not immune to failure either, and flash memory degrades with write cycles. Consumer-grade drives, the kind you find at Best Buy for $60, are not rated for continuous operation. They’re rated for maybe eight hours a day.

If you’re running Lightroom Classic with a catalog pointing to an external drive that’s spinning 10 hours a day, five days a week, you are using that drive well outside its design envelope. Add heat, vibration from a desk, or a single bad sector that corrupts your catalog file, and you can lose access to years of organized work in an instant.

The memory card problem is equally underappreciated. Cards don’t warn you before they fail. The file system can corrupt silently, and you may not know until you’re importing in Lightroom and half the thumbnails are gray.

The 3-2-1 Rule, Applied to a Real Photography Business

The 3-2-1 rule is not new, but most photographers I’ve talked to are running something closer to 1-1-0 without realizing it. The rule: three copies of your data, on two different media types, with one copy offsite. Here’s how I run it in practice.

Copy one lives on my primary working drive, a 4TB Samsung T7 Shield SSD. Fast, bus-powered, rugged enough. This is what Lightroom sees during active editing.

Copy two is a mirrored backup on a 6TB WD My Book sitting on my desk. I use Carbon Copy Cloner on macOS, set to run an incremental backup every night at 11 PM. The entire job takes about 12 minutes for a typical shooting week. This drive handles the 90-second recoveries.

Copy three goes offsite via Backblaze, which costs $99 a year for unlimited storage. It runs in the background continuously and has saved me exactly once from a situation involving a stolen laptop bag in 2019. The upload lag for large raw files is the tradeoff, so a 500-image shoot from a Sony A7R V (roughly 60MB per raw file, about 30GB total) takes a day or two to fully sync depending on your upload speed. That’s acceptable. Losing it permanently is not.

On shoot days, I run two cards simultaneously in-camera. The A7R V has dual slots, and I mirror to both. Card one is my primary. Card two is insurance. I don’t format either card until the shoot has been backed up to at least two locations back at the studio.

Your Website Is Also a Single Point of Failure

Photographers spend months building a portfolio site and then never think about it again from a backup standpoint. Your website is a business asset. If your hosting provider has a server failure or your WordPress installation gets hit by malware (and they do, constantly), you could lose your entire site in an afternoon.

I host on SiteGround, which includes automatic daily backups retained for 30 days. I also run UpdraftPlus Pro on my WordPress install, set to back up weekly to Google Drive. That’s a separate backup independent of my host. The setup took 20 minutes and costs $70 a year for the UpdraftPlus license. I’ve used it once to roll back after a plugin update broke my gallery plugin and replaced every image on my homepage with a white square.

Test your restores. A backup you’ve never tested is a backup you don’t actually have.

The Monthly Audit That Takes 30 Minutes

Once a month, I do a backup audit. I check that Carbon Copy Cloner ran successfully by opening the log, not just assuming it did. I check my Backblaze dashboard to confirm last backup time. I open one random RAW file from a drive I haven’t touched in six months just to confirm it’s readable. I check my Lightroom catalog file size because sudden shrinkage can signal corruption. I check that my website backup ran and download the most recent archive locally.

The whole thing takes about 30 minutes with a cup of coffee. The peace of mind it buys is worth considerably more than that.

The Cost of Not Building This System

The hard drives for a solid 3-2-1 local setup run around $150 to $200 total. Backblaze is $99 a year. UpdraftPlus Pro is $70. You’re looking at roughly $350 upfront and about $170 a year to maintain it. For most commercial shooters, that’s less than the fee for a single half-day assignment.

What it costs to reshoot a corporate portrait session because you lost the files, if the client even agrees to reshoot, is your time, your reputation, and possibly the relationship entirely. There is no version of this math where skipping backups saves you money.

Build the system once, automate what you can, and test it every month without exception. The photographers who stay in business long-term are not the ones with the best gear. They’re the ones who treat their data like the asset it actually is.
